Board meeting scheduling: best practices.
• Schedule at least 6 months in advance. People feel really important when you send them calendar invites for 18 months out, and I can guarantee you they don't have any conflicts then.
• Hold the meetings at the same time for consistency (e.g., 3rd Thursday morning of each quarter at 8:30am).
• And in the same location too, ideally. With hot coffee.
• Include a video call option for those in different locations. Bonus points if you always use the same video call link.
• Assemble the full board in-person at least 1x/yr.
• Send the materials 48-72 hours before the meeting.
• Send the minutes within 48-72 hours after the meeting.
• Use TTM and y-o-y reporting (board members can't remember much from quarter to quarter).
